Yes, We Use AI — and No, Your Data Stays Yours

AI runs quietly through a lot of HotPilot: answering guest questions, drafting messages, pulling together the numbers you need. It saves you hours. But it raises a fair question we hear from owners and partners all the time: if there's AI involved, what happens to my data — and my guests' data?

Short answer: it stays yours. Using AI doesn't mean giving your information away. Here's how we make sure of that, in plain terms.

The AI works for you -- never behind your back

When a guest chats with your booking assistant, or you ask HotPilot for a report, the AI reads only what it needs to answer that one request, gives you the answer, and moves on. That's it. It doesn't quietly collect your bookings, study your guests, or build a picture of your business on the side. It's a tool that responds in the moment — nothing more.

It runs in our own secure cloud, in Europe

Your data isn't shipped off to some public AI service on the open internet. The AI runs inside our own secured cloud environment, hosted in Europe (Frankfurt). Your information stays within that controlled space — encrypted, access-controlled, and kept in the EU. It doesn't travel somewhere you can't see.

Your data is never used to train AI

This is the big one, so let's be clear: your data is never used to train any AI model — not ours, not the AI provider's, not anyone's. The AI answers using your information in the moment, but nothing is kept afterward to "learn" from. There's no shared brain quietly absorbing your bookings and guest details.

That also settles the worry we hear most often — "could a competitor end up benefiting from my data?" It simply can't happen. Your information never flows into anything shared with anyone else. What happens in your account stays in your account.

The AI can't go digging through your records

The AI has no free run of your database. It can't browse your guest list or pull up whatever it likes. It only ever sees the small, specific piece of information our system hands it to answer a particular question — and we deliberately keep that to a minimum. Your records stay where they belong.
