spa New — Spa & Balneo

Your spa, run like the rest of your hotel

One day view for reception, conflict-free slots for therapists and rooms, commission that pays out fairly — and guests requesting treatments from your website while the desk sleeps.

5-min slot grid with prep, rest & sanitation buffers 0 double bookings — enforced by the database itself 100% of completed procedures accrue therapist commission

The Problem

Paper diaries double-book. Spreadsheets don’t pay therapists.

Most hotel spas still live in a paper diary: two receptionists book the same mud room, the masseur’s licence quietly expires, and at month-end someone reconstructs commission from memory. The spa earns real money — it just can’t prove it.

The Solution

One system from “I’d like a massage” to the therapist’s payout

HotPilot’s spa module runs the whole visit: guests request treatments on your website, reception confirms them into a live day view, the slot engine holds therapist and room time so conflicts are impossible, and completing a procedure writes an immutable earning for the person who actually performed it.

From request to payout, without a paper diary

Every visit is a pipeline with an audit trail — not a pencil entry someone hopes to remember.

01 Reception

The whole day on one screen

Therapists across the top, hours down the side. Walk-ins, whole courses and website requests all land here — and every visit walks arrival → in progress → done with one tap.

Live free-slot picker per service
Whole courses (N days) in one action
Website requests with one-click confirm
No-shows and cancellations release the time instantly
Version guard — two receptionists can’t edit the same visit blind

02 Money

Commission that computes itself

Set a % per therapist, per service or per category — the most specific valid rule wins. Completing a visit writes an append-only earning entry against the service’s reference price, so package-included treatments still pay the therapist.

Your spa menu, on your website, in your brand

Request-mode booking — reception stays in control
Editable page copy per property
Post-procedure automations: thank-you, review ask, rebooking nudge
Guest profiles show spa history next to stays

FAQ

Frequently Asked Questions

Everything you need to know about this feature.

No — and that is deliberate. Website requests hold no time; reception confirms them into the day view. A spa desk juggling therapists, rooms and hotel guests needs a human yes, and the engine claims the slot at that moment, so the public can never fragment your calendar.

You define rules in basis points — for a specific therapist and service, a therapist and category, a therapist alone, or a house default. When a procedure completes, the most specific valid rule wins and the amount is computed from the service’s reference price, then written to an append-only ledger with the rule snapshot.

Yes. Rules are per therapist + service, per therapist + category, or general — with optional validity windows, so a summer agreement can differ from a winter one without editing history.

Therapist profiles carry a role (physician, rehabilitator, kinesitherapist, nurse, masseur, spa therapist, cosmetologist), qualified modalities and a licence number with expiry. A therapist whose licence has expired, or who is not qualified for a modality, is refused by the booking engine — not by a memo.

Fully. Spa visits appear on the guest’s CRM profile next to their stays, completed procedures fire the Automations Studio (thank-you, review request, rebooking, no-show recovery), and the AI assistant can read the day’s schedule and catalogue through the same tools as everything else.
