Bookings do not keep office hours
Your reception team checks guests in, assigns rooms, prints registration cards, and handles walk-ins — all through HotPilot. A late arrival at 9 PM needs the system just as much as the morning shift processing departures. Behind the scenes, your booking engine is accepting direct reservations, your channel manager is syncing with OTAs, and confirmation emails are going out automatically. All of it depends on the same platform being available, every hour of every day.

Built to stay online
HotPilot does not run on a single server that can go down and take your booking engine with it. The platform runs on multiple independent instances at all times, hosted in Amazon Web Services' Frankfurt data centre. If one instance has a problem, traffic is automatically redirected to the healthy ones. Your guests never see an error page, and you never lose a booking because of a server issue.
Our database — where your bookings, guest records, and property data live — is replicated across multiple physically separate locations within the data centre region. If one location experiences a disruption, the system switches over automatically. Your data stays available, and your operations continue without interruption.

Updates without interruption
We improve HotPilot regularly — new features, refinements, fixes. But we never ask you to "please wait while we update the system." Every update is deployed gradually: the new version starts running alongside the current one, proves it is working correctly, and only then begins handling your traffic. The old version steps down gracefully once the new one is confirmed healthy.
If anything goes wrong during an update — which is rare, but we plan for it — the system automatically rolls back to the previous working version. No manual intervention, no downtime, no risk to your operations.
You can be processing a booking, reviewing your analytics, or managing your channel connections while we ship an improvement, and you will not notice a thing.
Handles busy periods automatically
A mention on a travel blog, a holiday weekend, or a promotional campaign can send your traffic surging. HotPilot detects this automatically and adds capacity within about a minute — no phone call to support, no waiting, no performance degradation. When the traffic subsides, the platform scales back down. You get exactly the resources you need, exactly when you need them.
This applies to both your guest-facing website and the behind-the-scenes processing — email delivery, OTA synchronisation, report generation. A spike in bookings will not slow down your channel sync, and a heavy analytics report will not delay a guest's confirmation email.
We know about problems before you do
HotPilot monitors itself continuously. Every few seconds, automated checks verify that the database is responding, the cache is working, background processing is running, and file storage is accessible. If anything is not right, our engineering team is alerted immediately — by email and by Slack notification.
We do not set these alerts at the point where something breaks. We set them at the point where something starts trending in the wrong direction, so we are investigating and resolving issues before they ever become visible to you or your guests.

Tested before it reaches you
Every change to HotPilot goes through a strict process before it reaches your property. New code is developed and tested in a completely separate environment that has no connection to your live data. It goes through code review, automated testing, and manual verification. Only then is it released to production — and even that release is controlled, gradual, and reversible.
Production releases are always triggered deliberately by our team, never automatically. We choose exactly when to deploy, and every release is tracked with a version number and a summary of what changed.
What this means for you
You should not have to worry about whether your booking engine is online. That is our job, and we have built the infrastructure, the processes, and the monitoring to make sure we do it well.
